Tracking Your Alert Messaging Costs: A Guide to the Customer Portal

Tracking Your Alert Messaging Costs: A Guide to the Customer Portal

Customer Portal includes a robust Reports section

In modern operations, responding to critical alerts immediately can prevent operational catastrophes. Whether notifying technicians of equipment failures or dispatching emergency alerts, enterprises rely on EmailToVoice.Net to bridge the gap between automated systems and human action. By converting automated emails into voice calls or SMS messages, our service ensures your alerts get the immediate attention they deserve.

As alert volumes grow, clear visibility into usage and costs is vital. You must know which systems are sending alerts, how often, and what they cost. The EmailToVoice.Net Customer Portal includes a robust Reports section that provides complete financial transparency and real-time account oversight.

Navigating to Your Reporting Hub

Accessing your data is simple. Once logged in using your unique `etv/` credentials, you will see the main dashboard and a clean menu on the left panel

Directly below “Home”, click the Reports tab. This opens the gateway to your historical transmission logs, where you select to view All Jobs.

Inside the “View All Existing Jobs” Screen

Selecting Reports / All Jobs opens an interactive reporting interface with a flexible filtering panel at the top. You can filter your logs by:

  • StartDate and EndDate: Specify a custom timeframe, such as the last week or last month, to isolate specific logs.
  • Broadcast Type: Narrow down logs to All broadcasts, or specifically isolate SMS, TTS (Text-to-Speech) voice calls, Voice, or FAX jobs.
  • Job ID or Name: Search by job number or name, which is derived from the original email’s subject line.
  • Click “Filter Reports” to retrieve every transmission that occurred in that window.

Understanding the “Job Cost” Column and Totals

The core strength of this view is the granular detail provided in the results table.

The table provides comprehensive columns for each transmission, including the Job Number, Job Name, Job Type, Started Time (mapped to your account’s timezone), Sent/Failed status, and the individual Job Cost.

The most critical element is the Job Cost column and the Totals row at the bottom. Every SMS or voice broadcast cost is calculated in real time, and the total for all filtered jobs is shown at the bottom of the column (a total of `$0.12` for the sample closed jobs in our screenshot).

Leverage Reports for Budgeting and Reconciliation

This financial clarity serves two key business purposes

  1. Real-Time Cost Tracking
Rather than waiting for an invoice, administrators can log in, filter for the current month, and instantly see their accrued messaging spend. This helps you monitor budget thresholds, identify unexpected alert volume spikes, and optimize systems before the billing period closes.
  2. End-of-Period Cost Reconciliation
When your statement arrives, you can use the Reports tab to correlate charges with job-by-job evidence. By filtering for the billing cycle, the sum in the Totals row will align with the invoice usage charges. This makes it effortless to assign costs to departments, verify billing accuracy, and provide detailed reports to your finance team.

Changing Customer Payment Options

Our customers provide credit card credentials on file to be automatically charged at the end of the month for usage from the previous month. Alternatively, a customer can provide a PO number to handle charges. In this case, we issue an invoice at the end of the month for the usage charges for the previous month.

In both cases, the customer may request a change:

  • To change the credit card credentials, the customer should Contact Us with the request. We will have a secure email sent with a secure link to the customer so the customer can enter the new credit card credentials. The next credit charge for EmailToVoice.Net usage will use the new credit card credentials.
  • To change the PO number, the customer should Contact Us with the requested change. We will use the new PO number when processing the next invoice.
